Summary:  Provides administrative support for the Supply Chain Group (Procurement, Contracts &Fleet).

Essential Duties & Responsibilities:

  • Assist as needed in special projects such as editing T&C’s in Word and uploading/sorting documents in SharePoint or FileNet.
  • Maintain email distribution lists for various levels of Operations & Measurement management
  • Prepare and approve time sheets – confirm time entries are correct with proper coding and employees and managers have approved
  • Run Quarterly eTime accrual reports and distribute to management team
  • Receive, sort, and distribute monthly wireless expense details report from Calero
  • Complete expense reports monthly
  • Book travel arrangements for staff
  • Code Open Text Invoices for approval
  • Food catering as needed
  • Order flower etc. for funerals and other acknowledgements
  • Schedule meetings and conference rooms
  • Coordinate office moves
  • Ensure workspace is setup and ready for new hires
  • Order office supplies as needed and maintain supply rooms
  • Manage mail and deliveries
  • Submit service tickets to building management as needed
  • Maintain all conference rooms on floor, making sure the equipment is operational and wireless devices are placed on chargers.  Clean/erase white boards and ensure supply of markers and erasers are available
  • Ensure department loaner laptop is refreshed every two weeks for updates
  • Answer phones and perform other duties and tasks as needed for the team

Requirements:

Education and/or Experience, Knowledge, Skills& Abilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements for this position are listed below:

  • 2+ years of administrative experience supporting multiple groups
  • High school diploma or equivalent; Bachelor’s degree preferred, but not required.   
  •  Excellent communication skills (both verbal and written) with the ability to effectively communicate with all levels across the organization
  • Proficient in MS Office Suite including Word, Excel, PowerPoint, and Outlook. Must also have familiarity with SharePoint
  • Detail oriented with demonstrated organizational skills
  • Ability to work in a fast-paced environment and manage multiple projects with competing deadlines      

Working Conditions:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

  • Usually, normal office working conditions.
  • Must be able to remain in a stationary position 50% of the time with prolonged periods of sitting or standing.
