PRIMARY RESPONSIBILITIES:

This position provides for the coordination of Aloha Petroleum’s (Aloha’s) routine maintenance and facilities capital projects while ensuring effective communication with both the Internal Technicians, external contractors, and the Operations Departments’ Customers.  The routine maintenance shall encompass maintenance break/fix services, while the facilities capital projects shall include sales program rollouts, major facility component replacements, and property improvements.  The position shall manage the capital projects largely utilizing external contractors. 

Furthermore, the position shall serve as the Facilities Maintenance Department’s communications liaison with the Facilities Internal Technicians, Operations Departments’ Management, and Accounting Management. 

Finally, the position requires the completion of applicable facilities technical and safety training to ensure a thorough understanding of the Department’s services, which will enable the most efficient project coordination and sound business judgment in evaluating project scopes and associated pricing. 

This role has a current pay range of $46,000 - $52,600. The listed pay range represents the company’s good faith estimate of the minimum and maximum base rate of pay for this position at the time of this posting. The selected candidate’s compensation will be determined based on their work location, qualifications, relevant experience, operational needs, demonstrated performance over time, and internal pay alignment.

ESSENTIAL DUTIES/FUNCTIONS:

  1. Coordinate the receipt and prioritize the timely completion of maintenance projects.  Communicate with both Internal Technicians and external Contractors to ensure the timely completion of the work in accordance with the service level agreement with the Operations Customers.  Maintains an accurate open project reporting to minimize any exceptions to service performance.
  2. Coordinate the prudent scopes of work for facilities capital projects by completing on-site inspections and system evaluations.  Secure and review bid(s) from external contractors for the established scopes of work. 
  3. Prepare capital documentation for Company recordation and subsequently supervise the completion of the projects.
  4. Provide thorough and customer-centric communication with the Operations Department and other Aloha Department Team Members, which shall include the participation in project meetings, exceptions response, and project budgeting.
  5. Contribute to the completion of Facilities Department report presentations, specifically regarding on-going initiatives, KPIs, and interdepartmental support.
  6. Provide for consistent coordination, Team and Company culture standards, and resulting pride in ownership representation of the Department.

COMMUNICATION DEMANDS:

  • Communicate effectively and efficiently with Internal Technicians, internal and external Customers, and contractors/suppliers.
  • Develop professional written reports detailing routine and capital projects, monthly performance and KPIs, and other initiatives.
  • Respond to customer’s (internal and external) needs efficiently and courteously.

QUALIFICATION REQUIREMENTS:

  • Facilities and capital projects aptitude
  • Proficient with safety protocols and standards
  • Knowledgeable of fuel and convenience retail facilities equipment
  • Proficient in computer applications

EXPERIENCE:

  • 0-2 years of facilities and capital project coordination
  • Applicable technical and equipment certifications preferred
