Position Summary:

The Event Planning Lead Specialist is responsible for spearheading, planning and executing a variety of events for Sunoco’s key customers. Events include high-end incentive trips, hospitality at major events such as NASCAR and Formula 1, tradeshows and conferences. This high-impact role will work across functions and interact with customers, vendors and senior leaders within the organization. This role reports on-site at our Dallas, TX office. 

Essential Duties and Responsibilities:

  • Ideate, plan and execute several small to large-scale events. Work with Executive Team to understand Sunoco’s goals and objectives, and execute events that support overall company strategy.
  • Oversee annual event calendar and event budgets ensuring cost-effectiveness and adherence to financial targets.
  • Plan and facilitate all logistics for events including location and venue selection, contract negotiation, registration, catering, entertainment, transportation, decor, etc.
  • Collaborate with cross-functional teams, including Marketing and Sales to ensure flawless execution, brand consistency and delivery of top-notch customer experience.
  • Manage and maintain vendor relationships and including Hotels, Production, DMC, Venues, Décor, Entertainment, and other industry contacts.
  • Create and manage project, process and program documents and implement mechanisms to standardize their use in order to maintain well managed programs.
  • Remain ahead of the curve with trends in event planning and proactively identify and solve operational challenges.

Knowledge, Skills and Abilities:

  • Can-do attitude with the ability to think several steps ahead to anticipate problems and create solutions
  • Ability to develop and maintain relationships with clients, vendors, and stakeholders
  • Ability to champion the Sunoco brand and build a rapport with event attendees
  • Ability to effectively work cross functionally with other departments and functions
  • Solid written and oral communication skills and ability to collaborate across internal and external teams
  • Exceptional organizational and project management skills, ability to manage multiple projects, meet deadlines, and strong attention to detail
  • Superior customer service skills. A calm and organized approach to working in high pressure situations
  • Results oriented with a proven track record of leadership and taking ownership that produces exceptional results

Education and Experience:

  • Bachelor’s degree in Hospitality, Event Management or related field. Degree in other fields with demonstrated ability and experience also accepted
  • 8+ years of experience in managing customer events. Experience with high-end events preferred
  • Proficient with Cvent event management software
  • Flexibility for domestic or international travel. Flexibility to work occasional nights and weekends, as needed. Willingness to travel (up to 20%)
