Operations Admin Assistant (Permian)
Key Business Objectives:
The Operations Administrative Assistant plays a key role in supporting the General Manager of the Permian Region by consolidating and distributing operational data to drive performance. This role is responsible for aggregating information from multiple internal systems to create and maintain scorecards, track corrective actions tied to reliability and environmental compliance, and ensure leadership has accurate, timely visibility into key performance indicators (KPIs) across the region.
Duties and Responsibilities:
Monthly Scorecards:
Compile and consolidate data from various dashboards and software platforms to generate monthly performance scorecards for each Area Service Manager (ASM) in the Permian region.
Oil Sampling Program:
Receive engine oil analysis reports and assign required corrective actions to appropriate ASMs. Track completion status and escalate overdue items.
FLIR Program Oversight:
Receive and organize FLIR (infrared leak detection) reports from customers and internal technicians. Distribute findings to ASMs and monitor repair progress to ensure timely leak issue resolution.
Reporting & Document Management:
Maintain organized records of KPI tracking, oil sample history, FLIR findings, and corrective action status. Provide reporting support for leadership meetings, performance reviews, and customer-facing documentation.
Cross-Functional Coordination:
Collaborate with ASMs, technicians, and internal departments to ensure the timely flow of operational data and follow-through on assigned action items.
Assist with organizing, tracking, and distributing past and current month financial reports, including, but not limited to, parts consumption, outside services costs, and $/HP KPIs.
Project & Administrative Support:
Assist with special projects or initiatives led by the General Manager, including preparing PowerPoint presentations, coordinating data requests, and organizing relevant documentation.
Assist in training personnel on data entry and written correspondence, when necessary.
If necessary, assist Area Service Managers in reviewing field service reports submitted by their field technicians.
Any other duties or responsibilities as assigned by the General Manager.
Full-time hourly position.
Skills/Capabilities and Education:
High school diploma or equivalent required; associate or bachelor’s degree preferred.
2–5 years of administrative, operations, or reporting experience.
Strong proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
Experience with SAP Concur, ADP, Power BI, Salesforce, UDB, DocStar, and Taleo is a plus.
Strong attention to detail, time management, and follow-through.
Ability to work independently, manage multiple priorities, and communicate effectively with
field and office personnel.
Applicant must have the ability to legally work in the U.S.
Working Conditions:
Primarily office-based with standard business hours; some extended hours may be required for
month-end or project deadlines.
Fast-paced, dynamic work environment supporting field operations.
Occasional lifting (up to 25 lbs) and file organization duties.
