Key Business Objectives
The Vehicle Assets Specialist is responsible for supporting the administration of the company's vehicle fleet by maintaining accurate vehicle records, coordinating registration and title activities, supporting vehicle lifecycle management, and ensuring fleet asset data is current and compliant. This position provides administrative and systems support to the Vehicle Assets team while partnering with field operations, vendors, and internal departments to ensure efficient fleet operations.
Duties and Responsibilities
Maintain accurate vehicle asset records including titles, registrations, license plates, and ownership documentation.
Scan, file, organize, and maintain electronic and physical vehicle documentation.
Coordinate vehicle registrations, renewals, title transfers, and related compliance activities.
Prepare and distribute vehicle documentation, registration packets, and license plates to field personnel.
Maintain registration expiration dates and vehicle records within fleet management systems.
Enter, update, and validate vehicle asset information in SharePoint and fleet management databases.
Generate reports from fleet maintenance and asset management systems to support vehicle lifecycle planning and replacement decisions.
Assist with vehicle disposal activities, including coordinating auction documentation, collecting required vehicle information, preparing release notices, and communicating with auction vendors.
Support monthly expense reconciliation and reporting; experience with Concur is considered an asset.
Assist with maintaining fleet records and ensuring data accuracy across multiple business systems.
Respond to inquiries from field personnel regarding vehicle documentation and fleet asset records.
Support continuous improvement initiatives related to fleet administration and asset management processes.
Provide administrative support for fleet-related projects and other duties as assigned.
Required Skills / Capabilities and Education
Required
High School diploma or equivalent required with 0–2 years of relevant experience in administrative support, fleet operations, asset management, logistics, or a related field.
Strong organizational skills with exceptional attention to detail and accuracy.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Strong written, verbal, and interpersonal communication skills.
Proficient in Microsoft Office Suite, particularly Excel and Outlook.
Preferred
High School diploma or equivalent required with 2+ years of relevant experience in administrative support, fleet operations, asset management, logistics, or a related field.
Associate's or Bachelor's degree in Business Administration, Supply Chain, Logistics, or a related field.
Experience with SharePoint, SAP, Fleetio, Geotab, or Concur.
Ability to quickly learn new software applications and business systems.
Customer service oriented with the ability to work collaboratively across departments.
Demonstrated problem-solving skills and the ability to work independently with minimal supervision.
Ability to maintain confidentiality and manage sensitive documentation.
Working Conditions
The incumbent spends the majority of time sitting or standing while performing computer-based work with the opportunity to move throughout the day.
Ability to remain in a stationary position for extended periods while performing administrative tasks.
Occasional lifting of files, office supplies, or packages up to 25 pounds.
Occasional travel may be required to support fleet operations, vehicle inspections, or company meetings.
Occasional visits to industrial or manufacturing facilities requiring the use of appropriate personal protective equipment (PPE).
