Position Summary
The Associate Specialist, Lease Administration & Regional Support is responsible for ensuring timely and accurate processing of lease payments for approximately 100 properties, while also serving as a key support resource for regional offices. This role supports the administration of lease obligations using Tango and SAP, monitors key lease dates, and acts as a service partner to 10–15 regional offices to help execute Corporate Services initiatives. This position works closely with the Real Estate team and reports directly to the Director of Corporate Services.
Key Responsibilities
Lease Administration
· Prepare and batch monthly lease payments in Tango and SAP for submission to Disbursements
· Track and flag critical lease terms including rent escalations, expirations, renewal options, and other obligations
· Maintain organized lease files and assist with document updates
· Support abstract creation and data entry into systems in partnership with the Sr. Specialist, Systems & Portfolio Optimization
· Collaborate with the Sr. Specialist, Property Transactions & Acquisitions on new site setups and landlord transitions
Regional Support
· Act as a liaison to 10–15 regional offices to support facility needs and Corporate Services initiatives
· Coordinate small-scale support items such as office supply issues, vendor contact, and minor maintenance needs
· Provide input for regional events and assist with event setup or logistics as needed
· Support the rollout of policy or service changes to regional offices
Data & Communication
· Maintain accurate tracking logs for lease-related actions and regional support requests
· Respond to landlord inquiries and route requests appropriately
· Support the centralization of regional facilities documentation and reporting
Key Deliverables
· Monthly lease payment batch report
· Lease critical date tracking log
· Regional support request tracker
· Documentation updates for lease renewals, exits, and payment changes
· Event and initiative feedback log for supported regional offices

Qualifications
· 1–3 years of experience in lease administration, accounts payable, or office support (preferred)
· Proficiency with Microsoft Excel; experience using SAP and/or Tango a plus
· Strong attention to detail and organizational skills
· Friendly and professional communication skills
· Ability to prioritize and manage recurring and ad hoc requests
Growth Path
