The Lead Coordinator – Race Fuels is responsible for managing day-to-day operational, reporting, inventory, and customer-facing processes across blending, distribution, compliance, and logistics. This role serves as a central point of coordination between internal teams, distributors, vendors, and customers, ensuring accurate data, timely communication, regulatory compliance, and smooth execution of fuel and product movements.

Primary Responsibilities:

  • Manage daily inventory tracking for components, finished goods, swing tanks, and warehouses
  • Oversee component ordering, tracking, and reconciliation
  • Maintain blend schedules, blend sheets, and end-of-month blend plant reporting
  • Record and maintain batch and test results
  • Coordinate railcar switches and track railcar movements
  • Schedule drum, truck, and rail shipments
  • Manage sponsor fuel shipments and logistics coordination
  • Maintain and process EPA reports, including GT batch tracking and usage
  • Coordinate creation, updates, and maintenance of SDS documentation
  • Manage Vapor Forms review, SharePoint documentation, and TMS7 entries
  • Process and close R.A. transactions, including SAP comparisons and R.A. numbers
  • Track pricing and product data within R.A. systems
  • Other duties as assigned

Minimum Requirements:


- High School diploma required including 5+ years of practical administrative experience in purchasing 
Strong organizational and multitasking skills with high attention to detail

  • Experience with inventory management, logistics, and scheduling
  • Familiarity with ERP systems (R.A., SAP, TMS7 preferred)
  • Ability to manage regulatory documentation and compliance reporting
  • Strong written and verbal communication skills
  • Comfortable working cross-functionally with Operations, Sales, RF, and external partners
  • Proficiency in Microsoft Office and SharePoint


Preferred Skills or Experience:


- Bachelor’s degree, preferred 
Background in fuel, chemical, blending, or manufacturing operations

  • Experience with EPA reporting and SDS documentation
  • Prior exposure to rail, truck, and drum shipment logistics
