Summary:

The Business Optimization group plays a critical role in driving strategic enterprise initiatives through effective project management and cross-functional collaboration. We are looking for a dedicated and organized Project Coordinator to join our team and support the successful delivery of enterprise programs. The Project Coordinator will assist with the planning, execution, and tracking of projects, ensuring that all activities are aligned with business objectives.

This role involves working closely with Project Managers, stakeholders, and team members to ensure projects are completed on time and within scope. The ideal candidate will have a strong ability to manage multiple tasks simultaneously, communicate effectively, and maintain detailed project documentation.

Essential Duties and Responsibilities:  

  • Support Project Managers in planning and executing project activities across the project lifecycle, from initiation to closure
  • Maintain and update project schedules, ensuring all tasks are completed on time and within scope
  • Prepare and distribute project documentation, including status reports, meeting minutes, and project plans
  • Assist in the coordination of resources, equipment, and information necessary for project success
  • Communicate with project managers and stakeholders to provide updates on project status and gather requirements or feedback.
  • Organize and facilitate project meetings, ensuring agendas are set, and follow-up actions are tracked
  • Track project risks and issues in RAID log or other essential project management tools
  • Provide administrative support as needed, including scheduling meetings, organizing files, and managing project-related correspondence
  • Collaborate with the broader Business Optimization team to ensure alignment with enterprise goals and objectives

Education and/or Experience, Knowledge, Skills & Abilities:

To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The requirements for this position are listed below:

  • Experience in project coordination, administration, or a similar role
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively
  • Excellent verbal and written communication skills
  • Proficient with Microsoft Office
  • Ability to work collaboratively in a team environment and build strong working relationships
  • Attention to detail and commitment to delivering high-quality work

Preferred Experience:

  • Experience working in a Project Management Office (PMO) or within an enterprise-level organization.
  • Basic understanding of project management methodologies (e.g., Waterfall, Agile).
  • Familiarity with enterprise tools like SharePoint, Visio, Microsoft Project, or SmartSheets. 

Job level of candidate is commensurate with education and/or experience:

  • Coordinator requires High School diploma and 0-2 years of relevant job-related experience
  • Senior Coordinator High School diploma and 2+ years of relevant job-related experience
  • Lead Coordinator requires High School diploma and 5+ years of relevant job-related experience

Working Conditions:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job

  • Usually, normal office working conditions
  • Must be able to remain in a stationary position 50% of the time due to prolonged periods of sitting or standing
  • Occasional overnight travel may be required
  • Occasional participation in meetings with cross-functional teams, which may involve working with different time zones
  • Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment
