Summary:

We are looking for a diligent and detail-oriented Associate Specialist -Records Management to join our organization. This position will be responsible for administering the efficient and compliant management of records throughout their lifecycle. The ideal candidate will have a strong understanding of records management principles, excellent organizational skills, and be detail oriented. This role requires a proactive individual who can collaborate with cross-functional teams and ensure that records are accurately classified, stored, and disposed of in accordance with legal and regulatory requirements.

 

Essential Duties and Responsibilities

·         Assist with efforts to review and migrate or dispose of network drive content.

·         Utilize applicable IT systems to establish monitoring controls to prevent the accidental loss of information.

·         Interacts with users to gather requirements, build and maintain network drive repositories, organize content, enforce governance protocols, and promote best practices for records storage.

·         Assist with developing, documenting, and implementing standard procedures and best practices.

·         Perform security access reviews to ensure compliance with the organization’s data classification and privacy policies.

·         Create and maintain the data map of the organization’s data and document legal holds, as applicable.

·         Provide business process and technical support for certain records storage and sharing applications.

·         Assist with special projects as applicable.

Education and/or Experience, Knowledge, Skills & Abilities

To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The requirements for this position are listed below:

·         Bachelor's degree or equivalent work-related experience.

·         2-to-5-year experience in a records management or related role.

·         Proficient in Microsoft Office Suite (e.g., Excel, Word, PowerPoint)

·         Strong knowledge of records management principles, practices, and standards.

·         Familiarity with records management systems and software.

·         Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

·         Strong analytical and problem-solving skills.

·         Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.

·         Ability to lift 50 lbs.

 

 

Required experience is commensurate with the selected job level:

·         The Associate Specialist level requires a Bachelor’s degree or equivalent experience and 0-2 years of relevant job related experience

  • The Specialist/Analyst level requires a Bachelor’s degree or equivalent experience and 2-5 years of relevant job related experience

·         The Senior Specialist/Analyst level requires a Bachelor’s degree or equivalent experience and 5-8 years of relevant job related experience

·         The Lead Specialist/Analyst level requires a Bachelor’s degree or equivalent experience and 8+ years of relevant job related experience

 

Working Conditions

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

·         Usually, normal office working conditions.

·         Must be able to remain in a stationary position 50% of the time due to prolonged periods of sitting or standing.

·         Occasional overnight travel may be required.

·         Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
